How does the document pipeline run from scan to commit?

Five steps, instrumented end to end. Each step has a clear owner, a clear SLA, and a clear place to roll back if extraction confidence dips below your threshold.

The five-stage pipeline

  1. Ingest. Files arrive through SFTP, email, API, or dashboard upload. We hash, timestamp, and store the original.
  2. Extract. OCR plus layout models read the document. Typed inputs skip this step.
  3. Classify. The document is matched to a template (invoice, statement, contract) so the right field set is used.
  4. Validate. Fields are checked against your rule set. Low-confidence fields are flagged for human review, not auto-corrected.
  5. Commit. Approved records land in your system with the source document attached.

How is the engagement structured, and what does it cost?

Statement-of-work, with a fixed monthly retainer sized to the document volume, template count, and SLA. We do not bill by the hour or by the page. The retainer covers the operators, the engineers, the QA, the dashboard, and the named account owner.

How accurate is the extraction?

Across our pilot clients in the last 12 months, field-level accuracy is 98.7 percent on first pass and 99.4 percent after QA. We publish your actual numbers on the engagement dashboard, broken down by document type.

Can you handle handwritten documents?

Yes. We use handwriting-recognition models trained on your document type. The accuracy is lower than printed text, so we route handwritten forms through human review by default unless you tell us otherwise.

What languages do you support?

We process English, Spanish, German, French, Portuguese, Italian, Dutch, Polish, Arabic, Hebrew, Mandarin, Japanese, Korean, and Urdu. The language is detected per page and the right model is used.

Do you store the original documents?

Yes. Every extracted record carries a link to the original document, with a hash and a timestamp. Storage can be on our side or synced to your S3, SharePoint, or equivalent. We delete our copies 30 days after the engagement ends.
